What exactly is Digital Asset Management?
Digital Asset Management Systems (DAM) help you to keep track of your digital values. These digital values are nothing else than your media files, be it audio and video files, images or documents. Those systems are also known as Media Asset Management (MAM) systems.
Typical DAM systems consists of a server and a client application with which the user can access the stored data. Most systems are nowadays browser based and can be accessed by any modern browser like Internet Explorer, Firefox, Safari or Chrome. Therefore no client application installation on a desktop computer is necessary.
Access to a DAM system is protected – each user needs a valid username and password. The user management with roles and permissions can be either controlled by the DAM system internally or synchronized from a directory system like Active Directory or LDAP. In that case permissions and access rights can be automatically assigned to users and groups. Depending on the DAM solution the permissions can be defined down to a single file.
Gateways connect the DAM to the outside world. A simple example for such a gateway is a for instance a Download Portal for the Press, where a specific category or folder tree is published. In more complex setups the DAM system can supply corporate websites and online shops with images and videos. Standardized processes are here the key to automate complex business workflows like the creation of image galleries or shop pages in ecommerce sites or print catalogs.
Main functions of a DAM System

All data in a DAM system is categorized which is a unique advantage to your plain filesystem storage.
DAM solutions use categories, folders and keywords to order content. Other than in a file system these organizational structures can coexist and are not mutually exclusive.
The search function is probably the most used feature in the daily work with a DAM system.
A quick search using just a few keywords is as important as an extended search where a variety of parameters can be linked to find the right assets.
All DAM systems support a range of standard file formats where Metadata is automatically extracted and stored with the asset.
IPTC, EXIT and XMP metadata are for instance automatically extracted from image files so they can be later used in subsequent processes.
Digital Rights Management
Who is the owner of a specific picture ? Can the image be used in Spain ? Do we have the rights to use the image on our homepage or in social media channels ? All these information and the appropriate access permissions can be provided by a DAM system.
